The Warranty Claim You'll Never Make Without This

Every builder has a story like this: a piece of equipment fails inside its warranty period, but by the time anyone thinks to claim it, the invoice is gone, the purchase date is a guess, and the supplier wants a receipt nobody can find. The claim that should've been free ends up costing full replacement price.

It's rarely the equipment failing that costs money — it's the missing paperwork. Invoices sit in someone's inbox, texted photos of receipts get lost in a group chat, and nobody's job is specifically to track expiry dates across dozens of items.

The fix isn't more discipline — it's not relying on anyone remembering. A system that stores the purchase date, supplier, invoice number, and warranty period against every single item, and flags upcoming expiries before they lapse, turns "we might have a claim" into "here's the invoice, here's the date, submit it."

One recovered warranty claim on a decent piece of equipment usually covers a year of the software that caught it. That's the actual math worth doing before writing this off as admin overhead.
